Office Administrator
The Office Administrator is in charge of: making sure that all equipment is in good working order; assuring that space is clean and maintained; maintaining liaison with other organizations and partners on cooperative issues involving the Resource Center; recording cash receipts, checks and deposits; invoicing member dues; assisting with basic bookkeeping duties; preparing for and hosting workshops, including room arrangements and workshop materials; assuring completion of and recording of workshop evaluations; tracking workshop registration, attendance and results.
KEY RESPONSIBILITIES:
- Conference/Class room coordination: Coordinate bookings/hiring of Resource Center.
- Workshop coordination: post meetings to organization's website; maintain workshop registration lists; collect & record workshop evaluations; set-up conference room for meetings; order food; greet attendees; prepare workshop materials for facilitators.
- Annual Meeting: primary responsibility for annual meeting, including space rental, food, materials, registration, etc.
- Office Management: maintain office equipment, copier, fax, printers, phones; order office supplies; coordinate with cleaners, building personnel re repairs & upkeep of office; liaison with venue hire and partners.
- Basic Bookkeeping: prepare and mail monthly members dues invoices; in QuickBooks, write checks and record deposits; help with budget preparation.
- Interface with program staff to coordinate Resource Center Operations and use
- Negotiate and manage all contract services, including IT support, equipment use, maintenance and cleaning
- Coordinate building-wide maintenance
- Maintain and distribute an updated schedule of Resource Center use
- Develop and manage budget and financial allocations for space use
- Manage all aspects of venue rental program: respond to inquiries; negotiate space usage, fees, and contracts; ensure timely receipt of payment; coordinate appropriate preparation and take-down; hire necessary event support staff; conduct post-rental review for damages and follow through as required; maintain rental data
- Enforce building use policies
- Additional duties as necessary
QUALIFICATIONS: Bachelor's degree preferred. Minimum three years successful experience in office setting. High energy self-starter able to work well under pressure. Meticulous attention to detail, excellent interpersonal and written communication skills crucial. Knowledge of MS Outlook, Word, Excel, Access required. Salesforce and QuickBooks a plus. Pleasant phone manner. Bilingual a plus. Must be able to lift 50 pounds.

The Novalis Ubuntu Insitute of Holistic Education is looking to partner with a professional fundraiser. Such person will report directly to the Chief Executive Officer and will liaise with all directors and senior staff members to develop the Institute's Trust, Corporate and Statutory Fundraising activity.
The successful fundraiser will be responsible for:
- Developing new and imaginative fundraising activities, often events-based
- Working with media outlets to promote, market and advertise forthcoming events
- Building and maintaining long-term fundraising relationships
- Organizing traditional fundraising activities such as flag days and house-to-house collections of donated goods and monies
- Increasing funds through researching and targeting charitable trusts sympathetic to the charity
- Raising awareness of the charity at both local and national level
- Significant and proven experience of trust and/ or corporate fundraising in the voluntary sector, with a track record of raising significant amounts for a range of projects.
- Experience in managing staff or volunteers.
- Good knowledge and understanding of charitable trusts and foundations, and funders' needs.
- Excellent interpersonal skills including the ability to persuade network and negotiate effectively at senior levels.
- Substantial experience of fundraising from companies, or significant knowledge of the corporate sector with a Sales and Marketing focus.
- A demonstrable track record of developing new business and negotiating high-level partnerships.
- Experience of representing an organization at the highest levels and of building successful relationships with senior corporate contacts.
- Excellent written and oral communication skills, including creative writing and delivering presentations and pitches to a variety of audiences.
- Being able to demonstrate a commitment to the sector will be a distinct advantage.
- Be willing to travel and work unsocial hours.
